DESCRIPTION
We are currently looking for an Office Administrator/Billing and Records Administrator to join the Clinical team at Circle Medical Technologies. As we continue to grow, we are constantly searching for exceptional talent to be a part of our team. This in-person position will be based out of our San Francisco, California clinic.

WHAT YOU’LL DO

  • Receive, sort, process, and action mail received in our clinic. Accurately and intelligently distribute pertinent mail pieces to the relevant departments: Finance, People, Legal, and Compliance.
  • Post and reconcile payments received from patients and insurance companies, addressing all payer inquiries promptly and professionally.
  • Resolve billing discrepancies and denials by working directly with the Revenue Cycle Management (RCM) team and payers.
  • In collaboration with the Finance and RCM team, deposit and reconcile all payments received from payers, ensuring all financial transactions are accurately recorded and reconciled.
  • Review, scan, and process medical records received by the practice according to defined process, ensuring providers have quick and accurate access to necessary health information.
  • Prepare and mail medical records and associated documentation as requested by patients and providers.

WHAT YOU’LL BRING

  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to function well in a high-paced environment
  • Proficient with Google Workspace, Microsoft Office Suite or related software

EDUCATION & EXPERIENCE

  • At least two years of related administrative experience is required
  • Experience managing payments or handling detailed financial data
  • Experience using scanning software and processing documents electronically

WHAT WILL GIVE YOU AN EDGE

  • Prior accounts receivable or revenue cycle experience
  • Prior medical, insurance, and/or billing experience in a high-volume environment
  • Prior mailroom experience or high-volume administrative experience in a medical environment

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
COMPENSATION
In alignment with our values, Circle Medical has transparent salaries based on merit-based output levels, and our total rewards include equity options.
This is a full-time hourly, non-exempt position with an hourly rate range of $20 to $23 plus generous vacation, full health benefits, and 401K with company matching.
